JOB INFORMATION

Clerical Assistant II positions work in a variety of City of San Diego departments and perform various typing tasks; serve as receptionists; keep records and compile statistics; operate office machines; and perform other duties as assigned.

 
       NOTES:

  • Clerical Assistant II is also a job class used to underfill a number of other classifications throughout the City. This includes Word Processing Operator, Test Administration Specialist, Payroll Specialist series, and Benefits Representative series, to name a few. After gaining the requisite experience, employees may be eligible for career advancement to higher-level classifications.   • Some Clerical Assistant II positions may be filled on a limited, hourly basis.

MINIMUM REQUIREMENTS

You must meet the following requirements on the date you apply, unless otherwise indicated.
 
EDUCATION/EXPERIENCE: You must meet ONE of the following options.

  1. Associate's Degree in Business Office Technology or a closely related field.
  2. Successful completion of a formalized (classroom) clerical training program consisting of a minimum of 520 hours of training in clerical or office procedures.
  3. One year of full-time clerical experience which may include typing, filing, providing information to the public, and general bookkeeping as typical duties. Six months of this experience MUST be in a position where the PRIMARY job responsibility is clerical in nature and must include a wide-range of qualifying clerical duties.
       NOTE:
  • The ability to type at a corrected speed of 30 or 50 words per minute on a computer keyboard may be required for some positions.

LICENSE: A valid California Class C Driver License may be required at the time of hire.

HIGHLY DESIRABLE:
  • Bilingual communication skills.

SCREENING PROCESS

The screening process will consist of the following components:

  1. APPLICATION REVIEW: Please ensure all information is complete and accurate as the responses you provide on the supplemental questions will be reviewed using an automated evaluation system.  If you are successful in this initial screening process, your application will be reviewed for applicable education, experience, and/or training to ensure all minimum requirements have been met.
  2. WRITTEN TEST: If it is administratively necessary, based upon the number of applicants, all qualified applicants will be invited to participate in a written test which may include, but is not limited to the following factors:  
  • Written communication
  • Reading Comprehension
  • Reasoning/Logical reasoning
  • Interpersonal skills

Test Date: Approved applicants will be notified regarding the specific date, time, and location. You must have a Written Test Appointment Notice in order to be admitted to the test.

Written Test Wavier:
  1. If you previously took and passed the written test associated with the recruitment for Clerical Assistant II - T11047, you may request a waiver. However, you will still need to submit a new application in order to get on the eligible list.
  2. If you are currently in or have previously held a City of San Diego clerical position equal to or higher than a Clerical Assistant II, you may be able to request a waiver.

Candidates who pass the written test will be placed on a list which will be used to fill position vacancies during the next six months (180 days).  For each vacancy, only those candidates with the most appropriate qualifications will be contacted by the hiring department for an interview.

SUPPLEMENTAL INFORMATION

PRE-EMPLOYMENT REQUIREMENTS:  Employment offers are conditional pending the results of all screening processes that are applicable to this job, which may include but are not limited to the following:  Confirmation of citizenship/legal right to work in the United States; completion of a pre-employment medical review/exam (which may include drug/alcohol testing); reference checks; and a fingerprint check.  The fingerprints will be submitted to the Federal Bureau of Investigation and the California Department of Justice for a conviction record report.  Certain positions may require additional screening processes which may include a polygraph examination and/or background investigation.  All of these processes must be successfully completed before employment begins.  A positive test for alcohol, illegal drugs, including marijuana, or inadequately explained prescription drugs, misrepresentation, falsification, or omission of pertinent facts in any step of the screening/selection process may be cause for disqualification and/or termination of employment.  Nothing in this job posting constitutes an expressed or implied contract for employment with the City of San Diego.  Applicants must notify the Personnel Department of any changes in their name, address (home, email), or phone number or they may miss employment opportunities.
